5 Wedding Invitation Tips

Congratulations! You have selected your date, as well as your ceremony and venue location. Everything has been secured and it is now time to send your wedding invitations. Please make sure your venue can accommodate the number of guest you are inviting. Since we are dealing with these unprecedented times, make sure you have plenty of room at your venue for social distancing.

Plan to send your invitations out 8-10 weeks before the wedding date. If you have a plan b list, send your invites out 10-12 weeks prior to your wedding date and the plan b invites 8-10 weeks prior to your wedding date. Make sure you look at your agreement and have RSVP’s back a week before the catering deadline. Most caterers need final numbers 5 business days before your wedding date. This will give you an extra week to follow up with any guest that did not respond and still turn your final number in on time.

Addressing the Envelopes

If you are only inviting a single guest or couple and not a plus one or the entire famliy, make sure you address the wedding invitation to the specified guest. You may want to add a line on the RSVP that says ” I have reserved __ # of seats for you. This will eliminate any questions about a “plus one” or any additional family members. If the invitation is for the entire “Smith” family, address the envelopes with Mr. and Mrs Smith and Family. You can also add wording on the RSVP card if the reception is for adults only. Examples: “Adult Only Reception” or ” We kindly ask that you leave the little ones at home and come help us celebrate our special day”

Make a Spreadsheet that Corresponds with the RSVP’s

Believe it or not, you may receive some RSVP’s that do not have a name on it. Your loved one was rushing, simply checked will attend or regrets and you have no idea who it is. They may also forget to make their meal selection if you are having a plated meal. Save yourself some stress and make an excel spreadsheet and add small numbers to the back of the RSVP card. If you receive an RSVP without a name you can simply look at the back of the rsvp card and refer to your spreadsheet for the name.

Weigh your Wedding Invitation

Be sure to add all items to your wedding invitation envelope and take it to the post office to have it weighed. This will avoid any surprises postage cost that you have not included in the budget as well as returned invitations. Don’t forget to add the address and postage to your RSVP cards as well.

Include all Important Information.

Don’t forget the include the following information:

  • Ceremony location and time
  • Reception location and time
  • Directions
  • RSVP return date
  • Meal options if you are having a plated meal
  • Dietary restrictions. This is very important information for your caterer.
  • Hotel Information along with the room discount deadline.
  • Registry Information
  • Wedding Website for additional information.

Ask for Song Suggestions.

This is a fun way to put together a playlist for your DJ. You can add a fun line that says “If you want to see me dance, play (fill in the blank) by (fill in the blank) for example. Your guest will be excited when they hear their song played at your reception.
